The type of personal information we collect
We currently collect and process the following information:
• Names, postal addresses and email addresses of our members.
• Names, postal addresses, dates of birth, email addresses and phone numbers of our trustees.

How we get the personal information and why we have it
The personal information we process is provided to us directly by you for one of the following reasons:
• Members – administration of the charity in pursuit of its charitable purposes. This will include but is not limited to communication of information such as AGM details & membership renewal.

• Trustees (1) – for the relevant purposes as required by law eg the names of trustees to be held and displayed on the Charity Commission’s Public Register of Charities.

• Trustees (2) – administration of the charity in pursuit of its charitable purposes. This will include but is not limited to communication of information relevant to the governance and administration of the charity to and between trustees.

We do not share members’ information with any other organisations or third parties.

We share trustees’ information with the Charity Commission as required by the Charities Act.
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

• Members – We have a legitimate interest.
• Trustees (1) – We have a legal obligation.
• Trustees (2) – We have a legitimate interest.

For trustees the same personal information may be held and processed for different purposes and therefore under different lawful bases.

How we store your personal information
We take the security of personal information very seriously. We have in place appropriate security measures.
Retention Periods:
• Members – personal information is retained for three months after the individual ceases to be a member.

• Trustees (1) – personal information processed on the basis of legal obligation and shared with the Charity Commission is retained for three years after an individual has ceased to be a trustee.

• Trustees (2) – personal information processed on the basis of legitimate interest is retained for one year after an individual ceases to be a trustee.
All personal information is securely destroyed by deleting all electronic data and shredding any paper copies.

Your data protection rights
Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information held for processing on the lawful basis of Legitimate Interest in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the right to object to the processing of your personal information held on the lawful basis of Legitimate Interest in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
